Admin/Office Manager @ Arts Council
Position Description
The Arts Council of Fairfax County seeks a part-time (25 hours) Office
Manager responsible for the day-to-day administrative support for our office
working Monday-Friday, 9 a.m. ? 2 p.m., with flex-time as negotiated. This
position potentially could grow to a full-time position.
Duties include:
?Fiscal Management and Budget
Pay office expenses; maintain financial records; work with Executive
Director and Accountant in preparation of annual budgets, grant proposals, and
quarterly and end-of-year reports.
?Information Management
Responsible for daily management of mail, phones, e-mail, and internal
communication. Assist in drafting membership outreach letters and
creating/updating content our website.
?Office Management
Answer phones; maintain filing system; manage/assist in event planning;
maintain office and postage supplies. Prepare manuals and other materials
describing office procedures and standards. Ensure maintenance of office machinery;
ensure operation and maintenance of computers and software, printers and
local area network; act a liaison with account agents (phone, Internet,
insurance, etc.); act as liaison to tenants within the building; work with staff to
streamline office systems and protocol.
?Database Management
Maintain membership database and donor records in Access, including data
input and management, and preparation of regular reports on membership and
fundraising.
?Human Resources
Coordinate staff schedule and calendar; manage personnel process (tracking
employee evaluations, job descriptions, etc).
Qualifications
The ideal candidate for this job has 3 years of office administrative
experience, is highly motivated and well-organized; an energetic self-starter who
can work efficiently with attention to detail and with minimal supervision.
Experience with non-profits or the arts is a bonus.
?Strong interpersonal skills and ability to work with a variety of
personalities.
?Demonstrated ability to identify problems within an office and to develop
feasible solutions.
?Ability to work effectively and diplomatically under pressure.
?Positive, results-oriented, problem-solving attitude.
?Excellent verbal, written, and typing skills, effective time management
skills.
?Must be a team player, willing to respond quickly and flexibly to changing
events and work assignments in a dynamic and challenging work environment.
?Proficiency with Microsoft Windows XP, Microsoft Office (MSWord and Excel),
Microsoft Access, electronic mail and Internet essentials are required.
?Experience with computer layout/design, graphics, website content and
Dreamweaver a real plus.
?Bookkeeping and/or accounting skills a bonus.
?Must take initiative and be able to juggle and prioritize a variety of
important tasks.
Salary and Benefits
The Arts Council of Fairfax County offers a starting salary in the low 20s,
and the benefits package includes generous vacation and sick leave policies.
